Terms & Conditions

HENS Byron Bay operates as a facilitator for the experiences booked as part of your event. Each Supplier has their own terms and conditions of operation that are included below and are an agreement between you the Client and the Supplier. 

As the coordinator for this event, you agree that you are: 

  • Over 18 years old 

  • Agree to be the Event Organiser and responsible for ensuring these Terms & Conditions are adhered to by the entire party 

  • You are responsible for all payments and communications with HENS Byron Bay 

1. Event inclusions, prices and times are confirmed at time of booking deposit being received. Prices quoted are subject to availability and are subject to change. Please contact our team for the latest prices. 

3. Any increases or changes in the size & nature of the booking after the proposal is shared will incur additional charges at the discretion of the HENS Byron Bay team. For any change that is more than 20% of the quoted proposal a Change Fee of $100 is applicable and due immediately to confirm the change. You agree to indemnify us for any change fees from the Supplier/s arising from your change request.

Any additional guests added once the proposal is finalised will incur an administration fee of $40 per person, which will be added to the final invoice amount 14 days prior to the event. 

Once the proposal is signed, any other changes to a booking incur a change fee of $80 for each request. 

4. All suppliers, catering, activities, chairs, tables, catering and any additional equipment that might be required is arranged exclusively through HENS Byron Bay. 

5. Your selected venue is exclusively yours for the day and must be left as it was found. You agree to honour the property’s terms and conditions (shared below)

6. This event is BYO and a waiter may be arranged at an additional cost. 

7. Deposit: Your booking is confirmed for the total amount in the proposal shared upon receipt of non-refundable deposit. 

8. Payment: The remaining balance is to be paid 21 days prior to the event date unless otherwise previously agreed in writing. In some cases, some experiences are required to be paid in full to confirm booking. Our team will advise if this is the case and this amount is then non-refundable within 21 days of the event date. 

9. Cancellations: Bookings cancelled 6 weeks prior to your event date will receive a full refund (less the deposit). 

If you cancel within 6 weeks of your event date your deposit plus 20% of the event invoice total will be forfeited. 

If the full booking amount is not paid 21 days prior to the event date OR in the event of a cancelled booking by the Client within 21 days of the event, (for the whole event or any part thereof) the deposit and total event invoice amount is non-refundable. 

Final payment is due no later than 21 days prior to the event and we reserve the right to cancel any booking where payment is not received in full by the due date. 

All Cancellations must be received in writing and emailed to: info@hensbyronbay.com.au. It is the responsibility of the client to ensure this is received in the time period. 

We understand that in the current environment plans may have to change.

If you need to reschedule your event or parts of the event for COVID-19 related reasons please contact us immediately to discuss the options. Where possible, we will always endeavour to work with our Suppliers to reschedule your event within 12 months to an aligned day/time. If you do decide to cancel all or part of your event due to Government regulations, the deposit amount will be non-refundable and the administration fee will still apply. 

10. Unforeseen changes: If the premises become unavailable due to unforeseen circumstances, you will be notified in writing and we will endeavour to find you alternative property elsewhere. Full monies paid (in total or just for this element of your event) will be refunded at the discretion of HENS Byron Bay. You the Client will not hold HENS Byron Bay responsible for changes to the location or experience. . 

11. Breakages and losses to the property are to be reported to HENS Byron Bay at the time of the occurrence and any damages will be automatically charged to the credit card on file. . 

Disclaimer: HENS Byron Bay does not accept liability in contract for any injury, damage, loss, delay, additional expenses or inconvenience caused directly or indirectly or other events, which are beyond our control.

HENS Byron Bay has the absolute right to refuse a booking and/or refund any payment made at their discretion at any time.
